Matters arising from last meeting
- Minutes from last meeting
Confirmed.
- Indoorpendence Day
Indoorpendence Day made a profit of $469.70.
- Privately organised tournaments
WDS contracting other agents to run tournaments: not currently an issue. Maybe if in October we have no TD for the tour event, we can discuss it then.
Privately run tournaments with no WDS support: We have no problem with this.
Are we open, in principle, to private (ie: outside WDS exec) individuals/organisations running events with our support (financial or otherwise)? Exec votes - yes (two abstentions), depending on the proposal put to us by the TD.
Are we open to proposals from individuals within the exec to privately run tournaments/events with the exec's support? Exec votes yes, with one abstention, but the individual(s) must stay out of the relevent portion of the exec's discussion / voting (possibly leaving the room) because of the conflict of interest.
- Goals
Tanya to email out goals update.
- Website update
Kate has a price for Teamtastic. Response among subcommittee was muted; survey response to the forum request was also muted. Kate suggests that we promote Teamtastic to local teams, but she doesn't think it is appropriate for WDS. Exec agrees with this.
- Mailing lists
Exec votes to turn off the old forwarding mailing lists to reduce spam.
- Next leagues
We need to book the fields for the outdoor leagues. Marc to book fields for outdoors, same everything as last summer. Tanya to advertise by email for someone to run the social league "on the ground", as a paid position. (same as last two years)
- Current league update
10 teams in C grade, 6 (just) teams in B grade, 4 teams in A grade. A grade running at lower capacity, but better. B/C grade a problem, because people choose which grade to play in based on which day they want to play, rather than skill level. C grade getting too many people, too good; difficult for new players to join in. Suggestion — next year B grade on Tuesday, C grade on Wednesday?
Marc owed about $200 for prizes.
- Teaching in schools
Martin spoke to HODs of sports departments, who didn't seem to know anything. Martin emailed schools directly; 8-9 have replied (out of 40 or so). Martin proposed $5/hour from the schools; will be asking for money from us too. Schools who have replied have been very keen. Estimated total cost $4000, with 1/3 from schools. Martin considers 1/3 schools, 1/3 VUWSA, 1/3 WFDA, but Martin not sure if VUWSA will be keen, since they are giving VUWFDC money for other things. Martin will follow up with VUWSA, come back to us with a detailed proposal.
College Sport Wellington also proposed a 1-day tournament as part of the curriculum later in the year.
Liz would like to see detailed information on Martin's proposal, so that we know exactly what is going on, if we were to (say) talk to SPARC about it, or if we were to lose Martin for any reason.
Financials
Steve is away.
Business / Correspondence
- Wellington events
What are WDS' core events?
- Annual planning guide
Tanya tables an annual planning guide for exec members to review. Tanya to email to John for inclusion in the minutes.
Is it useful? Is there anything missing?
- Grant application for A grade uniforms
Martin has full set of new quotes from suppliers, for 6 sets of strips for A grade.
Beth to take charge of applying to trusts; Martin to send quotes to Beth.
- General fundraising
What options do we have for general fundraising? Exec members to send suggestions to mailing list.
- Tour event 1
Wellington has two tetantive potential dates for the tour event: 3/4 March and 10/11 March. We need a TD. Kate offers to be acting TD and book fields; everything else can wait for a few months. (Kate's commitments may change, so we might need a new TD, but as long as we get fields booked now, that's the main thing).
Next meeting
Monday September 4th. Venue?
Meeting closed 20.30.
