Matters arising from last meeting
- Newsletter - Brett has brought one along for us to view. Will be handed out at upcoming league nights.
- Budget - Steve has brought a budget for us to look at.
- School holidays - Shane has Martin's proposal.
- OSH - Need to catch up with Martin about this.
- Goaltimate - Dave has put the kit together. Need to pay him for that.
- Travel fund - Follow up later this meeting.
- NZU organizational membership details - Leanne to send another email asking for people's personal details.
- Uniforms - Martin has a few quotes, but not all.
- Inventory
Hilary/Steve have put together an inventory. Dave to take this over. Steve would like to throw some stuff away (plastic knives/forks/plates, two wooden plates, lithographs, etc). Steve to email a list of suggested trash to Brett; Brett to OK throwouts. We have a whole bunch of pamphlets which can be given to anyone who needs some (eg, Martin could use a lot for his college tournament).
- Library
Hilary has put together a list of suggestions. We already have a couple of videos.
Proposal: Buy the lot. Exec votes unanimously to give Hilary a budget of $500 to spend on purchases for the library. DVDs will be rented out for $20 bond.
- Job description for outdoor league manager
Dave, Martin both made one, and then Leanne combined them. Leanne to email to John for inclusion in the minutes.
Paul motions, Leanne seconds, to appoint VUW to job of league coordinator. Vote unanimous.
- Party
Leanne suggests holding a party for ultimate players at the beginning of the outdoor season. Suggested dates — two weeks prior, or one week after start. It will be a good chance to get all captains, some/all players together to communicate important info, say Hi. Also good for socialising. Steve suggests getting projector and some DVDs (from our Library!). Shane suggests room at the back of Zebos. Leanne to contact Zebos to inquire about a deal. Steve suggests drink tickets. Leanne to come up with detailed ideas for next meeting. We propose scheduling the party to coincide with a development tournament (see below).
- A grade changes
Leanne suggests having each team pick an MVP for the opposition each game. Leanne to add to league coordinator job description.
- Development tournament(s)
From Jacob Tapiata: The Massey Ultimate Association (MUA) is keen to run dev tourneys, like in past years. Jacob thinks MUA can field 4 seven-aside teams. They are also open to collaborative training camps, etc.
Do we want to run a dev tournament too? — Steve volunteers himself and Brett to TD such a tournament. New Zealand Ultimate still hasn't presented a calendar of events for the summer, so it is hard to plan. Leanne suggests combining this with the party; move it to Sat Nov 12, with party in evening. Exec thinks this is cool. Leanne to email Jacob to talk about his goals for the dev tournaments, and about our goals (eg: wgtn teams as draft).
Followup — Jacob replies to say that MUA players will play together. We may still do a draft for Wellington players.
- League structure
Brett suggests Wgtn couldn't support enough single-sex teams to form a league. Mixed is good for us, so we should run mixed leagues anyway.
What about draft system? — The draft worked very well in A grade indoor: it game us more players, much more even teams, much better games overall.
Issues with A grade draft outdoors: Bronwyn is here from Kia Mataara to give us their point of view: two of KM's goals are:
- increase number of Maori playing ultimate.
- increase usage of Maori language amongst ultimate players.
Neither of these goals would be helped by an A grade draft. Sherwin Nottram (by email) raises similar issue — His B grade team, Virus, is considering going to A grade, but would only do this if they could play together.
Despite this, the Exec is very keen on a draft (because it worked so well indoors). The primary problem with making an exception for KM is that creates a precedent. Shane suggests KM players in draft teams could be paired up (one senior player with each dev player as a mentor system).
Another problem with the draft in general: It doesn't allow tour teams to play together. Answers: ♦ if the tour is open, A grade won't help anyway. ♦ teams that want to play national level should be prepared to train together.
Dave proposes "baggage" system: each person can nominate one or two people to be on the same team with. Leanne points out that transport isn't an issue for A grade (since all teams play at the same time anyway), so the focus should be on a mentor / buddy system instead. Word: "mentor".
Final decision: Leanne proposes, Steve seconds: A grade outdoors is a draft, plus mentoring/baggage system, plus TD discretion just-in-case. Vote: unanimous.
- Indoorpendence day
Steve queries VUW charging $750 to make lunches for Indoorpendence Day. Exec has signed off on payments for Indoorpendence Day anyway, so Steve needs to get the cheque to Martin. In the future, Steve would like clearer breakdowns of how money is to be spent for exec-funded events.
- Disputes
If there are any disputes between exec members, Leanne would like the disputes to be channeled through her.
- Secondary schools tournament
Martin has a proposal for a secondary schools program. He would specifically like $750 in funding from WDS exec. Steve wonders who else Martin has approached, and how much extra money Martin expects to receive. Exec votes to support with money + discs (at cost), pending supply of detailed budget. Shane thinks $5/kid is more realistic fee to ensure high participation. Shane also points out that Martin needs to be wary of school exams. We are curious as to who will be running training sessions.
Martin to send details to Leanne, who will make the final decision.
- Evan's Bay School
Some Wellington ultimate players have been volunteering their time to run an ultimate program at Evan's Bay School.
The Exec thanks Ryan, Noelsy, Martin, and Mark for their time. The Exec votes to send the school ten discs, and also to give a $40 petrol voucher to each of Ryan, Noelsy, and Martin for their time.

Collecting the team's league fees is the captain's job.
- Uniforms
The Exec votes to apply for funds from gaming machines.
- Web site
Dave would like Indoor Nationals results added to the website.
- Selling discs
Dave has brought some discs along for exec memebrs to seel. Dave to build and maintain a spreadsheet showing disc allocation.
Next meeting — talk about ordering new discs.

Current balance - $20,000. Bills to pay - $6000 → Closing balance $14,000.
Cheque book signing rights: Steve, John, Aaron. If Steve leaves NZ, cheque book to be entrusted to John or Aaron.
Liability insurnace: Steve has quote.
Budget: Steve has provided a budget. Estimated yearly surplus $4000. Summer leagues — last year's costs will increase.
IRD number: We need one.
Tax exemption: Steve to write letter asking for it.
