We are having monthly meetings, so please limit emails during the month.
Summer league

Job description: The person / group who gets the job of running the summer league is required to:

  • Set up field
  • keep times
  • collect scores
  • return scores to league coordinator
  • open/close toilets
  • store equipment
and is not required to:
  • collect money
  • take team entries

Pay: $300/league.

Dave to draw up a contract, job description.

Leaflet

Partial success in getting people to read it. Add to leaflet: Information about sale of discs.

Dave would like a newsletter every month. John to record issues during meetings that could be relevant for newsletter. Brett to produce newsletter this month; Leanne to produce in future.

Nike jackets

Two alternatives:

  • Sell on Trademe.
  • Use as prizes in tournaments, leagues.

Vote: Trademe: 3, prizes: 4, abstain: 1. Goal: Give away all during this year.

Budget for the year
Steve has made one. He will email it to John.
Travel fund.
Leanne hasn't done guidelines yet. Still to be done.

Business / Correspondence

Mail

Bill for ~$3,500 for current indoor league, for 2 nights Karori, 1 night Tawa. About as expected.

Martin must be consulted before we pay league-related bills (because Martin was involved in booking, and is likely to notice mistakes).

Leagues

Suggestion: Approach council about running school holiday programmes, or doing ultimate session within a holiday program.

Indoorpendence day

Martin would like to employ someone for administration on the day.

Exec feels that running the tournament is the TD's discretion. TD should aim to break even; as long as he doesn't waste or take entrants' money. Exec bank account used as a trust fund.

Exec will back up TD if necessary. Prizes: Take jackets from exec for free if desired.

College (high school) tournament proposal

Martin proposes a weekend tournament for college students. Basic ideas: one day indoor, one day outdoors. Run by VUW.

Games + coaching sessions during the day. Pay students (or get volunteers?) to evangelise at schools beforehand. Go to gaming trusts / pub charity / etc. for funding. Exec to help financially?

Exec to decide level of support later.

Sunday league

Martin, on behalf of Laurie Todd, suggests an outdoor league on Sunday afternoons.

Uncertain of success. No plans to proceed at the moment.

Aaron: if we can find a ground with lights, maybe 1800-1900 Friday (run the league with very strict timing).

No agreement. Martin to feed back to Laurie.

Income vs loss for leagues

In the past: Estimate total capcity, then 80% of that is break-even point for costs.

Ultimate is still pretty cheap, compared with other indoor sports.

Motion: Keep indoor league fees at $250/team for next indoor league. Agreed.

Martin, Steve to sit down together to get accurate picture of costs/profits from leagues.

Leagues

Aaron suggests: Use Karori videocamera to record games.

Martin confirmed as league coordinator.

Martin to get in touch with Oli to find out about the key to Martin Luckie, where the cones are.

Agenda for next meeting: Structure of summer leagues.

Internet banking

Vote on giving Martin (read-only) access to Internet banking. Agreed.

If someone on the exec needs the password, Steve is allowed to give them the information.

Merchandise / Branding

Motion: change Wellington Disc Sports logo. Denied.

Produce screen for jackets with logo. Dave to investigate. Dave estimates: $25-$30 to produce screen, $8 per jacket thereafter.

Motion: Produce screen, to brand jackets as needed: Agreed.

OSH issues (raised by Jaws)

Indoor leagues: Covered by WCC. They have trained staff, are liable.

Talk to OSH, see if they have a checklist for running a tournament / sports league. Assigned to: ?

Make it part of the league runner / tournament organiser's job to know first aid people, provide ice, do hazard identification check.

Suggestion: Subsidise people to do first aid courses? We should survey community to find out who has first aid training?

Public liability insurance

We don't have it because our constitution doesn't define what a member is, and the insurance would only cover members.

Public liability insurance would cover: Damage to property caused by members at a WDS-run event. Does not cover injuries (which are covered by ACC).

Consequences of not having it: If something bad happens, the club could lose all its money and go under. So we just make a new club. Lose our money but no other consequences.

Constitution issues

We need to define what a member is. Steve to investigate, when he returns from wherever.

Goaltimate

Dave priced goaltimate kit: $250. Motion: Dave to spend money, build it. Agreed.
